Terms and Privacy
Payment
· Payment is to be made within 14 days from receipt of invoice
· Invoices will be sent monthly for regular clients or invoiced on completion of a single piece of work
· Overdue invoices will incur interest
· Payment to be made by bank transfer, cheque or cash
· All costs incurred from a returned cheque to be met by the client
· Ad hoc hours are billed per hour, thereafter in 15 minute increments
. Discount for the introduction of new client will be applied when new client has paid their first invoice
. Student discount given on proof of student card
· Postage/courier fees are not included and will be invoiced separately
· The client agrees to pay for any completed work if they terminate their contract before works finished
· If the client's requirements change after the agreement is in place, then Ad Hoc Administration Services (AHAS) reserves the right to amend the original quotation
· If collection/delivery service is used, 40p per mile will be charged and time charged in 15 minute increments. Reasonable distance covered and to be confirmed at time of quotation
· All work remains the property of AHAS until full payment of invoice is met
· No VAT is chargeable on AHAS services.
Submitting Work
· All work requests must be emailed to [email protected] with an outline description of work required. An acknowledgement will be sent. If this acknowledgement is not received within 24 hrs please ring 01872 241819 or 07930345355
· If an answer phone service is in operation you will be contacted the same day
· Work can be submitted by email, post, courier, digital format or by collection
· A quote will be issued with a description of the work requested.
· By accepting the quote and authorising the commencement of work you are agreeing to the AHAS terms and conditions
· Confidential or large files can be sent by ‘Drop box’
· You will be charged hourly with a minimum 1 hour charge, thereafter in 15 minutes increments
· Your company logo can be used. Send as a Jpeg document. Alternatively you can provide AHAS with your own stationery
· Once a job has been agreed all documents, templates, passwords and instructions are to be submitted prior to the commencement of work
· AHAS reserves to right to decline work if it is felt unethical, illegal or places AHAS in a compromised situation
· Turnaround time will be discussed at the time of submission. I strive to provide a quick and efficient service, however, AHAS reserves the right to alter time of delivery due to unforeseen circumstances or problems that arise
· Urgent, weekend, or bank holiday work will incur an additional 40% an hour. Work must be confirmed prior to submission. An estimated time for completion will be discussed with the client prior to submission
· Work will be proofread before sending to the client, however, the final proof reading is the responsibility of the client. Errors or omissions made by AHAS will be amended free of charge if notified within 48 hours of receipt of completed work.
· If errors or omissions are found after 48 hours of receipt of completed work, additional time will be charged in 15 minute increments.
Confidentiality
· All work is backed up daily and files are also backed up weekly on a memory stick and stored in a locked safe
· Your work will be kept for a maximum of 12 months after which it will be deleted, unless specified otherwise
· AHAS takes confidentiality very seriously and will not pass or sell your details to a 3rd party
· All work will be treated as confidential and in the strictest confidence.
